What the statement has to say

An itemization form is the worksheet version of the deduction letter: one row per charge, a category, a dollar amount, and a note on whether documentation exists. Filling it in as you walk the unit is far more reliable than reconstructing charges from memory two weeks later.

The generator turns those rows into a formal letter-size PDF with the deposit accounting done for you — original deposit, plus any interest owed, less total deductions, equals the refund or balance due. Categories keep repairs, cleaning, and unpaid rent separate, which is what most statutes expect.

Print the completed form, sign it, attach copies of receipts or estimates, and mail it by certified mail before your state's deadline. Keep the signed copy and the certified-mail receipt together in the tenant file.

Frequently asked questions

Is there a standard deposit itemization form?

There's no single national form. A handful of states publish a suggested format, but any written statement that lists each deduction with a description and amount, reconciles it against the deposit, and is dated and signed will satisfy most statutes.

Can I print the itemization form?

Yes. The generator produces a letter-size PDF formatted as a formal business letter with a signature block, ready to print, sign, and mail.

Do I list receipts on the form?

Each row has a receipt checkbox, and the statement notes which deductions have documentation on file. Attach copies of the receipts or estimates as separate pages when you mail it.

How is the deadline on the form calculated?

From your selected state's statutory return window and the move-out date you enter — for example 21 days in California, 14 in New York, and 30 in Texas.

Deciding whether to renew instead?

Field Renewal compares the true cost of a lease renewal against a turnover — vacancy days, make-ready, leasing fees — so you know whether raising rent is worth the risk of a move-out.
